Exhibitor Form

Please find below information our 2024 Catering Exhibitions:

 

  • Tuesday 20th and Wednesday 21st of February at Parc y Scarlets Rugby Ground in Llanelli, SA14 9UZ.  Set up after 1pm on Monday the 19th or after 7.30am on Tuesday the 20th.  Please be ready by 9.30am on both days of the exhibition.

 

  • Monday the 4th and Tuesday the 5th of March at Parc Eirias, Colwyn Bay LL29 7SP.  Set up after 1pm on Sunday the 3rd or after 7.30am on Monday the 4th.  Please be ready by 9.30am on both days of the exhibition.  Please confirm attendance by filling in both forms and returning them to me by the 5th of December 2023. 

 

Opening hours for both exhibitions are 10am to 5pm on the first day and 10am to 4pm on the second day.

*these stands are subject to availability and are first come first served.

As we want as many different suppliers as possible to attend the exhibitions, we may not be able to guarantee double or end stands. 

We will confirm your request in early January.

 

  • Please fill in both forms following this letter and return it to me.  We will raise an invoice, which you need to pay either with a credit note, BACS payment or we can do a contra payment.

 

  • STAND - You will receive a shell space, with a 2mt trestle table, already dressed with a tablecloth (extra 2mt or 1.5mt tables are available on request when you arrive to set up). Each stand includes any electricity you require.  If you feel the cost and size of the stand is too much for you, please let me know and it is possible that there are other suppliers who feel the same and we could put you on a shared stand.

 

  • EQUIPMENT - Please list the equipment and the wattage you will be using on your acceptance form.  This is imperative to make sure you receive the correct power required to your stand.  All equipment must be PAT tested and all suppliers must have PAT certificates to hand.  If you have any equipment that is not PAT tested, our on-site electrician can do this at a cost of £10 + VAT per item.  This can be done once all stands are equipped with electricity.  There will be room behind the table for any back boards, etc.  The shelling system is covered in felt.  Adhesive Velcro strips is the best option for attaching posters. 

 

  • DISPLAY CHILLERS – we can organise display chillers at an extra approx charge.  Prices start at £200 + VAT, dependant on size.  Other sizes are available on request.  These are limited, so it is first come, first served.

 

  • COOKING – cooking is allowed on your stand at both exhibitions.  Please make sure you have product specifications to hand.  Also, if you are cooking any products which are ‘free of…’ please make sure that these are cooked in separate oil, etc.  There are fully equipped washing facilities available.  Please do not use the venue’s toilets to wash your equipment.
     

  • FOOD HYGIENE – please make sure you have up-to-date Food Hygiene Certificates to hand at the exhibition if you are serving food.  On your stand, there will be a notice that Environmental Health have supplied us.  Please make sure this is displayed somewhere prominent on your stand.
     

  • NEW PRODUCTS – please do not present any products that are not stocked by Castell Howell.  Any new products should have been shown to the NPD team beforehand and only products that have we have agreed to list in our 2024 brochures, should be presented on your stand.  If any products not stocked by Castell Howell are found on your stand, they may be removed.

 

  • PROMOTIONS – all promotions will be advertised on posters which you can display on your stands.  Any promotions must be forwarded to me by the 14th of January 2024 to ensure they are included in our exhibition brochure. Any promotions received after this date will not be included and you will have to make your own arrangements to let the customer know the promotion.

 

  • PARKING – all suppliers are asked to park away from the stadium, in the designated car-park area.  We will let you know closer to the dates where to park.  If you are setting up on Monday at Parc Y Scarlets, you can park in the stadium, same for setting up on Sunday at Parc Eirias.  If you are setting up Tuesday morning, you may drop off your stand, stock, etc, but you will then be asked to move your car.  Anyone not moving their car, will be named and shamed over the public-address system.

 

  • STOCK – you can send stock into Castell Howell, draw stock from Castell Howell or bring your own on the day.  Please make sure you mark this on the acceptance form.  Stock will be kept on lorries outside the venue, and you can draw products during the 2 days.  Members of Castell Howell staff will be on hand to get you stock – please do not climb onto the lorries yourself.  If there is no-one at the lorry, please report to reception and we will ask a member of staff to attend to your requirements.  Also, if you require consumables (napkins, cutlery, etc) please mark them on the form.  If you are bringing your own consumables, please make sure they are biodegradable/compostable.

 

If you are sending stock into Castell Howell, please mark them clearly EXHIBITION STOCK and send them in by the 14th of FEBRUARY.  If you want to draw stock from us, please email a list through by 7th of FEBRUARY.  If you require additional stock for the second day of the exhibitions, please order with reception and it will be brought over to the venue. If you have any stock left over, please make a member of Castell Howell staff aware of what you would like to happen to the stock.  Please note any temperature-controlled stock removed from the lorry, can’t be put back into stock.

 

  • WASTE MANAGEMENT – There will be a waste management and recycling system in place and all exhibitors will be expected to adhere to the instructions. Any non-compliance could incur an extra cost as Castell Howell is charged for unnecessary land fill. This also includes the condition in which your stand is left in at the end of the second day. Any excessive rubbish you leave on your stand a disposal charge will be invoiced to you.  If your stand is left in an unsatisfactory state, you may possibly not be asked to attend in the future.  Information will be sent to you closer to the date.

Please note that any products purchased from Castell Howell stock for use at the exhibition and any promotional offers issued must be paid for within 28 days otherwise payment will be deducted from any monies owing by Castell Howell.
